The situation
The owner ran a high-volume shop, somewhere around 2,000 jobs and 1,500 invoices a year. The numbers were all in the field software, but none of it was in a form anyone could read at a glance. Jobs would stall partway through and go unnoticed until a customer called, and revenue and discounting stayed a mystery until the books closed.
What I built
One dashboard with three views, rebuilt automatically every night from their field software:
- Stuck jobs, meaning anything that has stalled and aged past two weeks without being invoiced, sorted oldest first.
- Invoice volume, so revenue and invoice counts over time are obvious at a glance.
- Discount tracking, broken out by type, so the owner can see exactly where margin is going.
The owner logs in and sees the state of the business, with no spreadsheet to build and no waiting for month end.
The result
At launch the stuck-jobs view surfaced 51 jobs that had quietly stalled, each one a customer to follow up and revenue to collect. The discount view turned a vague worry into a clear number. Best of all, it updates overnight, so it’s simply there every morning.
